Privacy Policy for Pulse

This Privacy Policy explains what information Pulse ("the bot", "we") collects from users of Discord servers ("servers") that have added Pulse, and how that information is used.

1. Information We Collect

Pulse collects and stores the following data, tied to a user's Discord user ID:

• Point totals: a numeric score associated with community/event participation.
• Point and tier change history: a log of changes to a user's points or role tier, including the amount changed, the reason provided by staff, the staff member who made the change, the type of change, and a timestamp. This history is limited to the most recent entries per user.

Pulse does not collect or store message content, presence/activity status, or voice channel membership. Voice channel membership may be read in real time (for example, to list who is currently in a voice channel) but is never written to our database.

2. How We Use This Information

Collected data is used only to operate Pulse's points, tier, and leaderboard features within the servers that have added the bot. For example, assigning tier roles, displaying point totals, and maintaining an audit trail of staff-issued point changes.

3. Data Storage & Retention

Data is stored in a MongoDB Atlas database. Point and tier history is automatically trimmed to the most recent entries per user. A user's full point and history records are retained until removed by server staff using Pulse's record-deletion command, or until the user's data is otherwise purged upon request.

4. Data Sharing

We do not sell, rent, or share collected data with third parties. Data is only accessible to:

• The bot's operator(s), for the purpose of maintaining and troubleshooting Pulse.
• Authorized staff of a given server, via in-bot commands (e.g. exporting or deleting that server's records), limited to data belonging to their own server.

Collected data is never used to train machine learning or AI models.

5. Your Rights

You may request that your data be deleted by contacting the staff of any server where Pulse is used, or by contacting us directly at @solarian9 on Discord. Server staff can remove a user's records using Pulse's built-in deletion command.

6. Children's Privacy

Pulse is not directed at children under 13, and we do not knowingly collect data from users under the age required by Discord's Terms of Service.

7. Changes to This Policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
